Class Records and Reports
Class records and reports that must be filed in the Student Records Office include: class attendance reports, students’ performance on all graded exercises, students’ final grades reports, and requested drop forms. A class attendance report is issued for each course section. The instructor will record the students’ entry into class, students’ absences, the date students are dropped, and the students’ final grades on the attendance report. In addition, final grades are recorded and submitted on a final grade form. The Student Records Office provides instructions for completing and submitting the forms. Appendix E includes a sample copy of a class roster and a sample copy of a drop form.
The North Carolina Standard Records Retention and Disposition Schedule requires that instructors’ records of student attendance and grades for all graded exercises be maintained for three years. “…if no litigation, claim, audit, or other official action involving the records has been initiated” the records may be destroyed after three years. Adjunct instructors are to submit their records of student attendance and grades for all graded exercises to their department heads at the end of the term.
